This role provides assistance to Finance attorneys, paralegals and secretarial staff.

 

Responsibilities

  • Prepare closing index, master closing sets and closing set variations for each transaction party
  • Coordinate creation of electronic closing binder/CD/USB with ECB team
  • Review original Notes/Certificate signature pages
  • Filing/LegalKEY
  • Minor document editing/redlining
  • Submission of vendor invoices and check requests, liaise with Accounting Department as needed
  • Preparation of expense reports
  • Preparation of new matter memoranda
  • Photocopying/scanning
  • Creation of labels
  • Assist with mailings, distributions, and faxing
  • Answer telephones
  • Enter attorney timekeeping
  • Binder assembly
  • Manage practice database(s) and database entry
  • Manage the process of clearing ordinary conflicts; including working with the firm’s Conflicts Department to understand the nuance of the process of conflicts clearing
  • Prepare and send conflict waiver requests to either the client or relationship partner, as appropriate, and business confirmation requests to relationship partners
  • Prepare and maintain a current conflict waiver tracking log  
  • Completion of conflicts clearance steps in C3
  • Liaise with attorneys, as needed, for additional information needed in order to complete the above
  • Performs other duties as assigned or required to meet Firm goals and objectives

Qualifications

Education/Training/Certifications: 

  • High School diploma or equivalent required
  • Associate or Bachelor’s degree preferred 

Professional Experience: 

  • No prior experience required
  • Law firm experience preferred 

Technical Skills: 

  • Computer literacy required
  • Proficiency in Microsoft Office products required
  • Typing of 50 WPM

  • Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
  • Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
  • Ability to work under pressure, meet deadlines with shifting priorities
  • Must be a self-starter with a high level of initiative
  • Strong customer service skills, able to anticipate needs
  • Strong attention to detail, organizational skills and the ability to handle multiple projects
  • Maintains confidentiality and exercises discretion
  • Exercises solid strategic thinking and problem-solving skills
